Your Process

If you decide to work with us, the first thing we will ask about is your internal verification process.

We believe that your internal verifiers need to be trained on your verification process if you want them to be able to apply this back in the work place.

Don’t worry if you have not yet agreed your internal verification process.  We can help you with this.

Training & Qualification Options

When you are thinking about training for your internal verifiers, there are a few things for you to think about.

Option 1: Internal Verifier Training with Knowledge Assignment

Some prefer a ‘training only’ approach for their verifiers. At Polaris Learning, we work with you to develop and deliver training workshops that are based around your organisation’s assessment set-up.  During the workshops, we explore best practice within this setting so that your verifiers are clear about what is expected of them when they return to their workplace.

If being delivered online, each delegate would work through the agreed training modules and then be asked to complete a more formal knowledge based assignment which is reviewed by a Polaris Learning Consultant.


Option 2: Internal Verifier Training with Practical Assessment (Certificate of Competence)

This option can be very useful where the SQA L&D11 option below may not be appropriate but your organisation wants to achieve some form of certification for your internal verifiers.

This option also provides a very useful feedback loop for people who are new to the internal verification role and will help to identify where they are meeting the requirements of this role as well as any ongoing development requirements.

If being delivered in a workshop, delegates would complete the training whereby at the end, Polaris Learning would then provide a practical assessment for each Internal Verifier to complete when they return to their place of work. This assignment is updated to suit your own organisation’s set-up but typically each individual will be asked to complete the following activities:

  • Demonstrate that they have taken the lead in planning out and implementing 2 verification samples while ensuring compliance with the established assessment and verification procedures.
  • For these two verification samples, they will be required to provide the following evidence:
    • Review the assessments undertaken on a worksite and select a representative sample of assessments for verification.
    • Complete Verification Reports for each assessment selected.
    • Identify any improvements, actions or communication issues required and implement these.
  • They are also required to write a Candidate Statement on both verification periods.

If being delivered online via PLUS, delegates would work through the agreed online learning modules and then be issued with a practical assessment using their company Competence Assurance internal verification and sampling procedures to complete and submit to Polaris Learning for review.


Option 3: SQA L&D
11 (Internally monitor & maintain the quality of workplace assessment)

This qualification is internationally recognised and suitable for people who are responsible for internally verifying the quality of assessment undertaken within their organisation.

The delegate(s) must have the opportunity to work with and support a minimum of two assessors and a minimum of two candidates per assessor.

The learner will also need to provide evidence of supporting their assessors and approving assessment against company or national standards.

The qualification can be split into the following requirements:

Quality Assurance Procedures & Processes

These must be in place and available to the L&D11 Candidate (and the assessors they are managing) and include:

  • Standards being assessed.

  • Assessment/assessor requirements.

  • Verification requirements (and the paperwork which underpins this).

Sampling Plan

The L&D11 delegate must show that they can plan their verification activities. 

To do this effectively the following needs to be in place:

  • A record of Candidate Progress and Assessor Activity.

  • A selected sample for the period, in line with QA procedures and processes.

  • A record of the sample.

  • A plan for communicating the sample.

Carry out Sampling Activities

Including:

  • Monitoring completed assessments (Complete IV Record/Report).

  • Observation of assessors (Using Observation Checklist).

Carry out Standardisation Activities with Assessors (and keep a record as agreed within QA requirements)

When the L&D11 delegate has completed all verification activities, all their paperwork would be presented to a Quality Assurance Expert (can be in house or external) and that person would be asked to confirm that it is in line with expected requirements.

Tips for Success

It is important to think about your internal verification process as you develop your competence assurance system.

Your internal verification process will help you manage your competence assurance process.  Without this process, it will be difficult for you to make sure the right people are being assessed at the right time and to the right standard.

As a starting point, the first thing to consider is who should carry out internal verification?

Your internal verifiers also need to be organised, methodical, able to quickly build relationships, be good communicators and be able to stay objective.

The internal verifier also needs to be competent in the areas that that they are verifying.

Case Studies

We have developed a close working relationship with Odfjell Drilling since 2004 where we have provided a range of services to support Odfjell Drilling's competence assurance process. This relationship was extended to cover the international arm of operations in 2011.
